The Role

At Jaywing, our strength is the efficient delivery of brilliant client work, driving both fame and fortune for brands. We are proud of the quality of our Media and Science offer, and we are seeking an experienced operations director to join our highly skilled team.

We are looking for an analytical, strategic thinker to lead overall operational management and project delivery of our multi-disciplinary Media and Science team. Working in partnership with client and commercial operations the successful candidate will set strategic goals for operational efficiency and increased productivity. Working with the Media & Science leadership and management teams the Operations Director will provide the frameworks, support and management to facilitate efficient, profitable delivery of our work.

 

Key Accountabilities

The Operations Director role is a pivotal leadership role in the Media and Science team at Jaywing and will work in partnership with operational colleagues across the business. You’ll need an understanding and appreciation of multiple advertising disciplines (Digital, Technical, Advertising, Brand and Design) and your role is to lead the operational management of the Media & Science team incorporating the management of workflow, processes, the provision of business management information to ensure the overall effective and efficient running of the business. It is also to project manage more complex projects across the Media & Science Team.

 

Design and Development

  • Monitor and support the development of processes to ensure an effective and efficient operation
  • Liaise with and engage all stakeholders across the business in order to coordinate the development and enhancements of workflow and resources
  • Support Managing Directors and Media & Science SLT on driving standards and ensuring delivery
  • Where relevant contribute to the Business Continuity planning and process, and on a day-to-day level, ensure the business is adhering to policies and standards set out
  • Identify opportunities and strategies that drive performance and roll out these new initiatives

 

Delivery Planning

  • Planning and overseeing workflow and capacity to ensure effective and efficient delivery into the client teams. Provide support to the Media & Science management team ensuring that processes are adhered to and helping plan more complex projects
  • Work in partnership with client services and new business team leaders, coordinating requests. Specifically ensuring that briefs are prepared on time and comprise the right information from client services and new business
  • Working closely with Media & Science leaders set out the right approach, and identify the skills required to deliver the work, estimate the timescales, plan the work and ensure we manage workloads appropriately
  • Ensure that provision time estimates for work are provided to enable effective costing and analyse productivity and monitor performance against estimates

 

Workflow Management

  • Drive the effective and efficient scheduling of resources across our multi-disciplinary team
  • Day to day, support the team Heads to work efficiently and effectively together to ensure work is completed in line with client and business demands
  • Troubleshoot delivery challenges, liaising with the Client team and Media & Science team to resolve them
  • Lead and attend key resource and project planning meetings with the relevant heads of teams, to ensure that workflow is being effectively managed within teams
  • Attend key briefing sessions on major client projects to ensure that resource skills and availability can be met
  • Ensure that the operational management tool Synergist is used appropriately and effectively for workflow planning and management
  • Ensure that the business’s quality and workflow procedures are being adhered to,
    carry out any investigations and if necessary, escalate any concerns to the senior leadership team and/or the MD

 

Project Management

  • Oversee the consistent delivery of high-quality projects, ensuring project plans are agreed upon and then executed
  • Identifying all core, assumptions, challenges and dependencies, and providing appropriate mitigating actions
  • Review, management and provision of cost analyses, performance and profitability
  • Direct and support the teams in reporting on capacity and forecasting resource requirements
  • Ensuring the business’s quality procedures are fit for purpose and, if necessary, escalate any concerns to the MD
  • Provide weekly and monthly reports on core KPIs for the business, for example, Forecasting, Capacity and Performance.

 

People Accountability

  • The Operations Director is a senior leader in the Media & Science team and will provide support to the Managing Director and SLT partners, both within the team and across the wider Jaywing business, helping to maintain a trusting, inclusive, productive environment
  • Ensure that best practice is adhered to and in line with workflow processes
  • Support the team heads by providing data and analysis to support where necessary
  • Plan and support training for the Media & Science Team as and when needed
  • Support the Managing Director, SLT and management team on the onboarding of new team members and clients.

 

Financial Accountability

  • To ensure that work is completed to schedule and to mitigate/minimise the risk of over-investing in client work by closely monitoring investment and ensuring projects remain on track, reporting any significant risks to the business to the MD
  • To track profitability and surface insights
  • With a comprehensive understanding of the agency model, the Operations Director should help to drive additional revenue through the team wherever possible

 

Skills Required

  • Experience, in a Media operations role, ideally within an integrated agency offering, so you have an understanding of how all departments ‘gel’ together
  • Proven ability to plan and manage operational processes and people for maximum efficiency and productivity
  • Masterful organisational, communication and leadership skills, demonstrated by previous professional success
  • Strong working knowledge of data analysis and performance metrics
  • Excellent project management skills plus an ability to multi-task proficiently
  • Proven ability to direct and coach people
  • Sound commercial understanding of the agency business model
  • High level of diplomacy and the ability to establish and maintain positive working relationships across the agency at all levels
